Who does what
Kavera staff, under your supervision: send check-ins and brain training, chase completion, review incoming scores against baseline, flag what moved, log treatment-management time, prepare documentation and claims.
You, the treating clinician: interpret results, change treatment, order referrals, run the monthly follow-up, sign every document and approve every claim.
That line does not move. Supervision and sign-off requirements for RTM and testing codes are set by CMS and each payer, and using Managed does not change who is accountable for meeting them. See Documenting Medical Necessity and Technician Supervision Rules.
What gets flagged
- A PCSS score that rises week over week instead of falling
- A positive Item 9 on the PHQ-9
- A PCL-5 or GAD-7 that crosses its cutoff
- Cognitive scores flat or falling against baseline while symptoms persist
- Missed check-ins two weeks running
Flags reach you the same business day through the dashboard and by message. What you do with them is your call.
The weekly and monthly rhythm
Weekly. Kavera staff review every enrolled patient's check-ins and training completion. Flags go to you. Time is logged per patient.
Before each visit. You get one screen: trend, flags, training completion, what changed since last time.
Monthly. Telehealth or in-office follow-up with you. Documentation for the month assembled: engagement days for 98978, treatment-management minutes for 98979 or 98980/98981, interactive communication logged. Claims prepared for your approval. Review call with Juliet Mott.
Where it fits your day
Nothing is added to the visit except a better chart. Enrollment happens at the feedback visit. Review happens on your schedule. Sign-off is a click on a document you've read.
